SharePoint Screencast Tutorial: Allow read only SharePoint users to update their profile information

One of the powerful SharePoint features that you can leverage is user profiles. You can find yours by clicking the drop down next to your username in the top right hand corner of the screen in a default SharePoint installation. Typical information you might want to document here is your contact details, title, department and even add attachments such as your resume. This will other SharePoint users to find you more easily and perhaps learn something about you that they did not already know.

There's a catch to updating this profile information – by default only a Contributor or higher may change the information in their profile. This means if you have read-only SharePoint users they will only be able to modify their Alerts and potentially their Password from the My Settings area on the site.

To change this restrictive policy you need to go to Site Settings > Advanced Permissions > and click on the Settings drop of which will allow you to select Permission Levels. Once you arrive at the new screen you will see a list of the available Permission Levels - such as Full Control, Contributor, Read. Click the Read and this will link to a page with a long list of check boxes which you may select to change an individual permission associated with the select Permission level. Down near the bottom of this list you will find the check box next to Edit Personal User Information and then click Submit below. This will now allow your Read only users to update their profile information.

You receive an authentication prompt and error when trying to Write an Article in the Knowledge Base application template for WSS 3.0 and MOSS 2007 over an SSL HTTPS:// connection

Problem: You use an SSL/HTTPS secure connection with your SharePoint site and have created a site using the Knowledge Base application template. When you click on the link to "Write an Article" you receive an authentication prompt or Access Denied error.

Background: The Knowledge Base application template was not QA'd against an SSL or secure HTTPS sessions – there are absolute paths to HTTP content referenced therefore Internet Explorer senses a domain change and throws a warning or authentication prompt depending on your configuration.

Solution: The best solution is to use the Knowledge Base application template with an HTTP connection. This eliminates the authentication prompt and allows you to save the new knowledge base article that you are trying to create.

How will my version of Microsoft Office integrate with the latest version of Sharepoint?

One of the most frequent questions we answer when talking to potential and existing customers is the level of integration between their client side productivity software suite and SharePoint. This is a very good question to ask your SharePoint provider or IT department in an internal deployment, or when you are considering leveraging advanced and really helpful features such as SharePoint workflow.

The scenario we quoted from before Microsoft Office 2007 and the latest version of WSS 3.0 and MOSS 2007 was the "Good, Better, Best" scenario. What this meant was Office 2000 – Good, Office XP – Better, and Office 2003 – Best. Today we are in a unique position because there is the largest combination of operation systems and client side productivity software versions possible. Some companies have user bases that span Windows 2000 and Office 2000, Windows XP and Office XP, and still more have adopted Windows Vista and Office 2007.

In light of this unique set of end user configurations, Microsoft has stepped in with a new document to illuminate exactly what SharePoint features you can leverage based on your configuration in a new paradigm named "Fair, Good, Better, Best". The conclusions that the Microsoft team has drawn are summarized below:

"Microsoft Windows SharePoint Services 3.0 and Office SharePoint Server 2007 provide advanced collaboration and enterprise content management capabilities for end users through rich, contextual integration with Office Professional Plus 2007 and Office Enterprise 2007. These latest versions of their respective platforms were developed together for maximum integration, with the expressed purpose of enabling the most powerful user experience possible. While the 2007 Office Suites and Windows SharePoint Services 3.0 and Office SharePoint Server 2007 provide much new and improved functionality compared to their previous versions, the combined deployment of the latest client programs and server technologies is necessary to achieve the best Office and SharePoint integration features."

Non-secured content in WSS 3.0 Simple Theme leads to warning pop up over an HTTPS:// connection

Problem: I changed my WSS 3.0 site them to the "Simple" site theme and now when I access the site over a Secure Sockets Layer (SSL) or https:// connection I receive a pop up which I have to click through warning that some of the content I am accessing is not secure. If you access a site using the Simple theme in an http:// connection you will not see any warning.

Background: We have found a coding error made by the Simple theme designer that when you apply the theme in the context of an https:// connection you will receive an error when your browser renders code on the page that directly references http:// content.

Resolution: Change your site theme. We recommend not using the Simple theme for WSS 3.0 if you require a secured (https://) connection with your SharePoint site.
